This policy explains what personal information The Baller Factory collects, why we collect it, who we share it with and what you can do about it. It covers our facility at Unit 3, 4–8 Deeds Road, Camden Park SA 5038, our website, and our social media advertising.
1. What we collect
When you join or book
- Name, email address, phone number and postal address
- The player's name and age or date of birth
- Parent or guardian details and an emergency contact
- What level the player currently plays at, and their training goals
- Attendance and booking history
- Any injury, medical condition, allergy or medication you tell us about so we can keep the player safe
When you pay
Payments are processed by our membership and booking providers. We do not store your card or bank account details. We can see that a payment succeeded or failed, and the amount, but not the card number itself.
When you enquire through an ad or our website
If you fill in a form on Facebook or Instagram, or contact us through the website, we receive the details you submit, which is usually your name, phone number, email, your child's age and what they currently play.
When you visit the facility
The facility is monitored by CCTV for safety and security. Entry using a key fob is logged.
When you use our website
We use the Meta (Facebook) Pixel to understand which ads bring people to our site and which pages they look at. This uses cookies and collects information such as your device type, browser, general location and the pages you visit. It does not tell us your name.
2. Information about children
Most of the players we coach are under 18. We only collect a child's information from a parent or guardian, or from the child with their parent's knowledge. We collect the minimum we need to coach them safely, and we never sell it or use it for anything other than running our programs and contacting their parent.
3. Why we collect it
- To set up and run your membership, bookings and payments
- To put players in the right class and coach them safely
- To contact you about sessions, timetable changes, cancellations and account matters
- To respond to an injury or emergency
- To let you know about programs, clinics and offers, where you have not opted out
- To understand which of our ads are working
- To meet our legal and insurance obligations
4. Who we share it with
We do not sell your personal information. We share it only with the services we need to run the business:
- Our membership and booking system, which stores member records, bookings and payments
- Our event booking provider, used for clinics and events
- Meta (Facebook and Instagram), when you submit a form in an ad, and through the website pixel
- Our on-site physiotherapist, only if you book with them directly, and only what they need
- Coaches and staff, limited to what they need to run a session safely
- Emergency services or a medical professional, if someone is injured
- Professional advisers, insurers or authorities, where the law requires it
Some of these providers store data overseas, including in the United States.
5. Cookies and advertising
Our website uses cookies from the Meta Pixel to measure ad performance and show ads to people who have visited the site. You can turn off personalised advertising in your Facebook and Instagram ad settings, or block cookies in your browser. Blocking them will not stop you using the site.
6. Marketing and opting out
We may email or text you about classes, clinics, programs and offers. You can opt out at any time by replying to any message, clicking unsubscribe, or emailing us. We will still send you essential messages about your membership, bookings and safety.
7. Photos and video
We take photos and video at the facility for coaching and promotion. If you would rather you or your child were not included, email us and we will keep you out of shots and take down anything already published.
8. How we store and protect it
Your information is held in our membership system and in our business email and files, protected by passwords and access controls. Only people who need access have it. No system is completely secure, but we take reasonable steps to protect your information from loss, misuse and unauthorised access.
We keep your information for as long as you are a member and for a period afterwards to meet our legal, tax and insurance obligations, then delete it or de-identify it.
9. Accessing or correcting your information
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email info@theballerfactory.com.au and we will respond within a reasonable time. We may need to confirm who you are first. If we cannot delete something because we are required to keep it, we will tell you why.
10. Complaints
If you think we have mishandled your information, contact us first at info@theballerfactory.com.au and we will work with you to sort it out. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
11. Changes to this policy
We may update this policy. The current version is always the one on this page, and the date at the top shows when it last changed.
